About this Role:

Employment status: Salaried, Full-Time (35 hours per week)

Salary: TBD + Benefits & RRSP

Location: 1600 16th Ave – Unit 1, Richmond Hill, Ontario

Reporting to the Director, International Programs, the Project Production Coordinator maintains project cycle management processes related to the planning, implementation and reporting of the international program portfolio (cash and non-cash) annual and multi-year projects, special projects, and strategic initiatives. The Project Production Coordinator acts as an extension of the PMO office supporting the International Programs team and other Hope and Healing staff, as needed, to ensure all projects are planned, implemented and completed on schedule, to deliver impactful programs aligned with our theory of change and strategy.

Essential Duties and Responsibilities:

  • Facilitating the planning, implementation and reporting of: annual project production cycle; multi-year program production cycle; special projects; and strategic initiatives
  • Coordination of International Programs team’s activities based on project-related tasks
  • Ensuring that the generic annual project and multi-year production templates are updated prior to the start of the project planning cycle each year
  • Develop tailored project production plans prior to the start of each project through either modifying existing templates, if available, or creating new plans as needed
  • Ensure that links to relevant file templates are active and up to date
  • Actively monitor and manage deadlines of all projects, and anticipate and escalate issues as needed
  • Identify strategies for addressing potential challenges and recommending areas for continually improving processes
  • Respond to and coordinate adjustments to project timelines ensuring that impact on project deadlines are understood
  • Create reports and effectively communicate key information to International Programs team related to project assignments, upcoming and missed deadlines
  • Prepare for and lead, project production meetings including preparing daily status reports for the International Programs Director
  • Work with the Director and International Programs team to coordinate deadlines and prioritize activities among International Programs projects
  • Anticipate and escalate issues as needed
  • Organize and maintain partner and project documentation systems
  • Coordinate International Programs annual calendar of activities
  • Develop and manage processes related to partner visits for all staff (e.g. ToRs, ensuring reporting back from trips, safety and security)
  • Managing International Programs/Marketing requests
  • Perform other job-related responsibilities as assigned

Our ideal candidate would have:

  • College or University degree in project management, administration or related discipline 2 to 3 years of progressive experience in business or systems analytics or relevant field
  • 3+ years of experience in project coordination or related
  • Non-profit experience an asset
  • Meticulous organizational and time management skills
  • Strong attention to detail
  • Concise verbal and written communication skills
  • Ability to work individually and as part of a team
  • Ability to work under pressure on multiple projects within tight deadlines
  • Computer literacy and proficiency in all office productivity software including Microsoft office suite including visio
  • Smartsheet knowledge would be beneficial
